PDFs are one of those things everyone uses constantly and almost nobody thinks about improving. A few small habits, though, save a surprising amount of back-and-forth over email and cut down on "the file's too big to send" moments.
1. Compress before you send, not after someone complains
Scanned documents and image-heavy PDFs balloon in size fast. Running a file through a PDF compressor before attaching it to an email is a five-second habit that avoids the "your file bounced back" reply.
2. Merge instead of attaching five separate files
If you're sending a contract, an ID scan, and a signature page, merge them into one PDF in the order the recipient needs to read them. It's easier for them to open one file than to juggle five, and nothing gets misplaced in a long email thread.
3. Extract only the pages you need
Nobody wants your entire 40-page report when they only asked about page 12. Pulling out just the relevant pages before sending is a small courtesy that reads as more professional than "sorry it's long, just check page 12."
4. Password-protect anything sensitive
Financial statements, ID documents, signed contracts — these shouldn't sit in an inbox unprotected forever. Adding a password takes a few seconds and means a forwarded email or a compromised inbox doesn't automatically expose the document.
5. Convert instead of retyping
Need to edit text that only exists as a PDF? Converting it to Word first, editing there, and converting back is almost always faster than retyping a whole document from a screenshot or a printout.
6. Rotate and organize before you finalize
Scanned pages that come in sideways, or a table of contents that ended up last — fix the order and orientation before sending, not after someone points it out.
7. Keep an unprotected working copy
Once you password-protect or flatten a PDF, editing it again gets harder. Keep an untouched working copy on your own machine and only lock down the version you actually send out.
